The starting point for most of your prospects will be the LEADS module. There are five sections to the Leads module:


  • Contact Details
  • Job Details
  • Leads Details
  • Plans & Documents
  • Notes


Once the leads details have been entered you have several options to take the lead to the next stage:


  • Create Quote
  • Create Invoice
  • Create Job
  • Send an Email


FIRST - Enter a new Lead in to BM start in the LEADS MENU:


> Open the LEADS menu

> Hit the NEW LEAD button




Contact Detail

Enter the leads contact details including names, business name if a business with ABN number, address and phone  numbers. Include as many details about the lead as possible as the Quotes and Invoices will pick up details from the Leads form.


Job Details

Write a short description about the prospects job. Tick appropriate boxes according to the jobs described. You may come back to this section with additional works to be quoted from a site visit. 

Tick boxes of areas of construction to be quoted and put in a very rough estimate of the value of the works. There is no connection between the values entered and further menu items, this is for your own evaluation to decide if the lead is worth seeing, doing an estimate or not doing anything at all


Leads Details

This is where you can quickly rate your perceived quality of the lead. The date refers to when the lead was received, if perhaps someone took the lead and it was not followed up immediately. The lead can be graded by whom ever takes the lead information according to your own business requirements. Suggested grades might be:


A - Good lead, customer seems realistic, has plans OR Strata Manager with scope and plans

B - Seems like a nice prospect, BE nice to work for, however be careful as may not be realistic

C - Appears to be calling lots of builders for quotes, perhaps fishing for information -RED FLAG

D - Probably not worth pursuing - Definitely send an invoice for a Site Visit fee


Plans & Documents

Uploads plans and documents sent by the prospect. Documents can be given generic labels in the drop down category menu and a short description applied. If the Lead later becomes a Customer and a Job is created, all documents that are uploads will be brought across to the Job Card


Notes

Notes can be created on each and every occasion that someone from the organisation interacts with the prospect. Save the notes and you are then ready to add more on other interactions.


Notes can be used to refer back to conversations as they will be transferred over to the job card. Search for notes in the NOTES MENU also. Extremely simple and very useful



Second - Follow Up Options


Along the top of the Lead form are your options for following up the Lead.





Create Quote

You have qualified the Lead and now decide to do a costing. Hit the Create Quote button to move to the next phase of BM which is the QUOTE form


Create Invoice

If you decide that you want to charge for going to see the prospective job, you might choose to CREATE INVOICE  from the lead form. A Quick Invoice can be created for the Site Visit stipulating your Terms and Conditions. If the prospect pays, then do your site visit. If they don;t, you have probably saved a lot of time.


Create Job

For repeat customers who request additional works you can go simply create a new Job by hitting the CREATE JOB button. A new Job with a new Job number will be created. Especially useful for doing work on a Cost Plus basis.


Email Lead

To request more information you might choose to EMAIL LEAD from the Lead form. An email will be created and can be sent off without leaving BM.



DEACTIVATE

 

If there is no further interest from either side, check the ACTIVE box to off. This will gray the Lead out in the summary of Leads in the LEAD MENU.


Check your LEADS MENU to see the status of all your L
